Hi there. Malay Ladu here from Apps Magnet. In this video, we will cover time reports in activeCollab and how we are making them better!
activeCollab is very useful in tracking time on different project activities. Just like most of our clients, we use this feature extensively. Once you have logged hours, you can see reports from two places.
You can click on the Time tab within a project to see a list of all time records for this project. You can also edit billing status of multiple items.
The other place is the Time Clock icon in top bar. That's the Global Time Reports screen. It shows your default time report. You can also create a new report from here.
Let's create a new Time Report.
You can create a new report by filtering on a person, date range or billing status. You can also summarize the report by User, so you only see the total hours.
Here's how our new report looks like. We see dates, users, their time records and the project they are in. You can also export these time records to CSV and create a new invoice. By the way, you can also use these same reports from individual project's Time tab.
This is all great. But we felt stuck with what's available and wanted some more flexibility. We wanted something that does not force us to create a new report for every change in how we wanted to view our time records. We were also annoyed that we had to flip between Global Time Reports and Project Time Reports all the time.
And you know we are all about productivity and making things easier!
So we created Time Reports Plus.
Here's how your Global Time Reports screen looks like after you have the Time Reports Plus module installed.
You can now summarize by up to three parameters and can update time records right from this screen. Let's try this out.
Let's summarize this time report by Project, Person and Billable Status.
This shows us time spent on each project by each person and also what was billable and what was not. We are using the same Time Report - so all filters you used there still apply, but you now get a much more meaningful perspective on the time spent. You can see sub totals for all summary parameters and can quickly understand where your team is spending time.
Summarizing the same report by Date and Project can show you efforts throughout the selected period for each project. Basically, you now have more than two dozen ways to look at your time records. So pick what's useful to you.
If you wish, you can select a few time records, and round them up to the nearest 15 minutes. You can also change their billing status.
